Setting up Sintra for inbox organization

Follow these simple four steps. The first three are one-time setup. After that, every email task reuses the same connection and the same Brain AI context.

1. Sign up for Sintra

Click on register today. Select Cassie and Vizzy are both included in Sintra X ($97/mo). Each helper costs $39/mo on their own.

2. Set up Brain AI (~5 min)

Open the Brain AI tab. Add Q&A snippets for your contacts, products, prices, and policies. Use clear labels in the titles. For example: [contact info], [product info], [pricing]. Outdated snippets lead to outdated replies, so edit them when things change.

3. Connect Gmail or Outlook

Link your email account from inside Sintra. Both Gmail and Outlook (including Google Workspace) are supported. 3rd party emails through SMTP, POP3, or IMAP are not supported.

4. (Optional) Turn on Inbox Manager

If you use Gmail, request beta access from Sintra customer support. Once approved, go to app.sintra.ai/automations/inbound-replier and finish the onboarding. Outlook users skip this step.

Step 1. Pulling today's emails

Cassie finds emails by date. Tell her the platform and the time range.

Step 2. Pulling emails from a specific sender

Cassie filters by domain or full address. Useful for one contact, a recruiter, or a newsletter source.

Cassie pulls your sent folder. She filters by date or subject, but not by recipient.

Output: a list of your sent emails for that period. Useful for quick follow-up checks.

Step 6. Get a daily inbox summary

Vizzy's Daily Summarizer pulls your emails and calendar events from the past 24 hours. It runs once a day. You see what came in and what's on your schedule in one short update.

Setup: Activate the Daily Summarizer in Vizzy's chat. Works with Gmail and Outlook.

Output: a daily update with your most recent emails and calendar events.

Step 7. Employ Cassie to draft a reply

Cassie writes a reply to any email she pulled. She uses your Brain AI context for tone and key facts.

Prompt: Cassie, please draft a reply to the latest email from [sender]. Keep it brief and friendly.

Output: a reply draft. Click "view" to check the recipient and subject. Then click Send or Cancel.

Step 8. Send a new email from chat

Describe the email. Cassie drafts it. You add the recipient. You review and approve.

Output: a draft you can review. Click "view" to confirm the recipient. Click "Send" to send. A green checkmark with "success" confirms it went out.

Step 9. How do you add Cc or Bcc recipients

Tell Cassie in the prompt. She adds the extra addresses to the draft.

Output: a draft with the Cc or Bcc field set.

Step 10. Turn on Cassie's Inbox Manager

For truly organized inbox turn on Cassie's Inbox Manager. It labels your incoming Gmail and writes draft replies in the background. Setup takes a few minutes once you have beta access.

Setup steps:

  1. Request beta access from Sintra customer support.
  2. Go to app.sintra.ai/automations/inbound-replier.
  3. Finish the onboarding flow and connect Gmail.
  4. Wait for the checkmarks.

What happens next: New labels appear in your Gmail. The last 10 to 20 emails get sorted on setup. Every new email gets labeled. We offer three main email categories for which Cassie writes draft replies for emails tagged "To Respond", "Cold Email", or "Awaiting Reply" - those are the labels visible inside Sintra. Other categories stay in Gmail only. You approve every reply before it sends.

One honest note: Auto-replying is not supported. Cassie won't send without your approval. Bulk actions (archive, delete, move) happen in Gmail, not in Sintra. Files and image attachments are not supported in Inbox Manager.

Step 11. Train Cassie for better replies

Cassie's reply quality depends on Brain AI. Add Q&A snippets with clear labels and keep them current.

How to do it:

  • Snippet title: What is our contact number?
  • Snippet description: Our number is +1 555 0100.
  • Use clear category labels in titles: [contact info], [product info], [pricing].
  • Edit snippets when info changes. Outdated snippets give outdated replies.

Output: sharper, on-brand replies that reflect your current business info.
